Out client, an entertainment nonprofit in NYC, is looking for a Jr. Event Production Coordinator for a temp-to-perm role. This position will play a key role in supporting the planning, execution, and follow-up of a wide range of events including galas, luncheons, exhibits, membership programs, and live productions. This position will assist in all stages of event production—from research and ideation through execution and post-event wrap-up—while collaborating closely with internal teams and external partners. The coordinator will contribute to event programming and talent coordination, support guest and ticketing management, and help ensure seamless production across events. - This is a temp-to-perm position that requires 5-days/week onsite in Midtown Manhattan.
Responsibilities:
- Assist in planning and executing pre-, during, and post-event programming for galas, luncheons, exhibits, membership events, and live productions
- Conduct research and pitch creative ideas for event formats, programming, and talent opportunities
- Support talent coordination, including identifying talent, conducting outreach, and maintaining the talent contact database
- Manage and maintain TicketWeb for event ticketing, RSVPs, and guest lists
- Draft and manage internal correspondence and event-related communications
- Assist in the production of live events, serving as an associate producer when needed
- Coordinate invitations, monitor RSVPs, and support guest experience management
- Provide on-site event support to ensure smooth execution of production needs
- Collaborate with internal departments and external partners to align event strategy and logistics
Required Qualifications:
- 2+ years of experience in event production, event coordination, or related role
- Familiarity with the media, entertainment, sports, tech, and/or gaming industries
- Strong organizational skills with attention to detail and the ability to manage multiple projects simultaneously
- Experience with event ticketing and guest management systems (TicketWeb experience a plus)
- Excellent written and verbal communication skills
- Ability to think creatively and contribute new ideas for programming and talent engagement
- Comfortable working in a fast-paced, deadline-driven environment
- Strong interpersonal skills with the ability to interact professionally with talent, vendors, and internal teams
- Flexibility to work evenings, weekends, and extended hours as needed for events
