Job Overview – Executive Assistant
Location: New York, NY
Schedule: Hybrid (4 days in office / 1 remote)
A $100B+ global alternative investment firm is seeking Executive Assistant to join its New York City office. This is an exciting opportunity to be part of a fast-paced, high-performing organization with a collaborative culture, flat structure, and exceptional retention. The Executive Assistant will support a group of senior-level professionals and will work closely with the global administrative and human capital teams. The role requires excellent multitasking ability, attention to detail, and strong organizational skills.
Key Responsibilities:
- Provide administrative support to 11–12 professionals of varying seniority
- Manage complex calendars and coordinate meetings across multiple time zones
- Coordinate domestic and international travel, including detailed itineraries
- Submit expense reports and ensure timely reimbursement
- Provide phone and inbox coverage as needed for team and EA peers
- Liaise with internal departments, external vendors, and business contacts
- Support coordination of office events and team functions
- Manage sensitive materials such as legal documents, presentations, and multi-party signature requests
Qualifications:
- 3–5+ years of office administration or executive assistant experience, financial services preferred
- Proven experience supporting multiple senior professionals simultaneously
- Proficiency in Microsoft Outlook, Excel, Word, and PowerPoint
- Highly organized and detail-oriented; able to manage multiple priorities
- Excellent written and verbal communication skills
- Discreet, professional, and capable of handling confidential information
- Team-oriented with a proactive, “can-do” attitude
