The Marketing team is responsible for driving customer acquisition, awareness, and education for a wide suite of digital services. As the team continues to grow, we’re looking for a Team Administrative Assistant to support senior leaders and ensure smooth operations in a fast-paced environment.
This role is perfect for someone who is highly organized, detail-oriented, and thrives in dynamic settings. You’ll be at the heart of the team, coordinating schedules, streamlining workflows, and enabling leaders to stay focused on driving impact.
What you’ll do:
- Manage schedules for senior leaders and coordinate key team and cross-functional meetings.
- Prepare and deliver documentation such as agendas, meeting notes, and follow-ups.
- Support team efficiency by refining standard operating procedures and administrative processes.
- Handle sensitive information with discretion, ensuring confidentiality at all times.
- Act as a liaison between leadership and team members, stepping in to manage requests or direct them to the right resources.
- Partner with other administrative professionals to align practices and support larger projects.
- Contribute to special projects and provide ad hoc support as needed.
What we’re looking for:
- 4+ years of administrative experience, including scheduling, agenda management, and cross-team coordination.
- Previous experience supporting marketing teams and a basic understanding of digital marketing is a plus.
- Strong organizational skills and exceptional attention to detail.
- Comfortable navigating ambiguity and managing multiple priorities in a fast-paced environment.
- Strong time management skills with the ability to identify and act on priorities.
- Proficiency with macOS and its native productivity apps (Mail, Calendar, Keynote, Numbers, Pages).
- High level of discretion and professionalism when handling confidential information.
