Carlton Fields is seeking an Office Support Coordinator.
The Office Support Coordinator will work/ partner with the Manager of Office Services and Director of Human Resources, overseeing the day-to-day operations of the office to include facilities, hospitality, local technology support, office services, building management, and event planning. This position plays a critical role in the office and requires excellent communication skills. The Office Support Coordinator is expected to take a hands-on approach to accomplish operating objectives, and to take responsibility for the overall delivery of support services.
Duties
Continually evaluates complement of services provided, service levels and quality of service. Makes recommendations to improve effectiveness and efficiency.
Assists office with basic computer hardware issues, software, and network configuration, as well as audio/visual equipment set-up and troubleshooting.
Maintains a high level of customer service, including positive, professional relationships with established vendors.
Responsible for mailroom operations, ordering office supplies, conference room set-ups, laptop, and conference set-ups.
Responsible for facilities management: parking, building passes, and building communications to the office.
Serves as contact to building management and monitors building maintenance.
Ensures all license and permits as needed are in compliance.
Responsible for the planning and set up of firm or office special event functions.
Daily internal mail delivery, courier runs.
Collaborates with the Manager of Office Services to ensure local outsourced Services functions are running efficiently and effectively.
Collaborates with the Manager of Office Services to plan space allocation (including office construction and expansion), layouts and floor moves for all staff hires, as well as all internal moves.
Helps manage procurement of supplies and processes requests for payment of office invoices.
Manages local expenses effectively in accordance with the office budget, and develops the office annual budget.
Supports firm departments as needed.
Handles emergency management for the office.
Work additional hours as needed.
All other duties assigned.
Minimum Requirements
High School Diploma or equivalent experience
Training and experience in basic computer hardware, software, and network configuration, as well as audio/visual equipment experience.
Minimum 5 years in office services in legal or professional organization.
Excellent written and verbal communication skills.
Must possess a valid drivers license.
