We are looking for an experienced
Office Coordinator (Contract) to join our team. The Office Coordinator will provide reliable, hands-on support to ensure a smooth and welcoming office environment. This includes maintaining daily operations, managing office inventory, overseeing catered lunches, and supporting internal teams and vendors. The role will serve as the primary onsite presence for office needs and visitor interactions. Hourly Pay: $20 - $35/hr
Hours per Week: Up to 18 hours/week
Duration: 6 months

Location: Onsite at Talkspace Headquarters, located in New York City. (Tuesdays & Wednesdays, 8:30 AM – 5:00 PM; Thursdays, 8:30 AM – 12:30 PM)
What You’ll Do - Office & Facilities Support
- Serve as the first point of contact at the front desk, greeting visitors and supporting general office needs
- Maintain cleanliness and organization of shared spaces, including kitchen, supply areas, and conference rooms
- Monitor daily facility needs and coordinate with internal teams and vendors for resolution
- Perform daily opening and end-of-day office checks (lights, dishwasher, shared space reset)
- Supply & Inventory Management
- Order and restock all office supplies, snacks, and beverages
- Accept and distribute deliveries; coordinate IT-related pickups when necessary
- Track inventory levels and ensure proactive reordering
- Catering & Event Support
- Manage weekly catered lunch ordering and setup (primarily Wednesdays)
- Assist with setting up and cleaning up food for internal events or meetings
- Take out trash if needed (generally overflows post catered lunch on Wednesdays)
About You
- Self-starter with the ability to work independently and take initiative
- Friendly and team-oriented, with strong communication skills
- Detail-focused and highly organized
- Previous experience in office coordination or similar support roles preferred
