Executive Assistant
We are seeking a highly organized and proactive Executive Assistant to support our SVP of Enterprise & Field Marketing. The ideal candidate will be a detail-oriented professional with excellent communication skills and the ability to manage multiple tasks efficiently. This role requires a high level of discretion, as you will be handling sensitive and confidential information.
What you get to do in this role:
Administrative Support:
- Manage and maintain the SVP's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle incoming and outgoing communications, including emails, phone calls, and mail.
Meeting Coordination:
- Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
- Arrange logistics for meetings, such as booking conference rooms, setting up video conferencing, and ensuring necessary materials are available.
Travel Management:
- Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
- Prepare travel expense reports and ensure timely reimbursement.
Project Management:
- Assist in the planning and execution of special projects and initiatives.
- Track project progress and provide regular updates to the SVP.
Office Management:
- Maintain office supplies and equipment, ensuring everything is in working order.
- Coordinate with IT and facilities teams to address any office-related issues.
Confidentiality and Discretion:
- Handle sensitive and confidential information with the utmost discretion.
- Ensure compliance with company policies and procedures regarding confidentiality.
Communication and Liaison:
- Act as a liaison between the SVP and internal/external stakeholders.
- Facilitate communication and collaboration across different departments and teams.
Event Planning:
- Assist in organizing and coordinating events, such as conferences, webinars, and team-building activities.
- Manage event logistics, including venue selection, catering, and guest lists.
Qualifications:
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and prioritize tasks effectively.
- High level of professionalism and discretion.
- Strong attention to detail and problem-solving skills.
Compensation: $40 - $50.91 per hour
