Dagen is recruiting an Executive Assistant for an independent family-owned financial planning firm in the Galleria area.
This is an in-office position.
Responsibilities:
- Calendar and schedule management: coordinate calendars client meetings, internal reviews, and firm events; manage travel arrangements as needed
- Client follow-up and service delivery: liaise with clients on routine inquiries, action items, and follow-ups; ensure responsive and professional communication on behalf of the advisors.
- Paperwork and documentation: prepare and review client correspondence, onboarding documents, account opening packets, and other regulatory or internal forms; ensure accuracy and timely delivery.
- Account updates: assist with updating client records, profile changes, contact information, beneficiary designations, and other account-related updates.
- Money movement support.
- Compliance and governance support: maintain confidentiality and handle sensitive information in accordance with firm policies.
- Administrative support: manage onboarding/onshore/offshore schedules, expense
Qualifications:
- 5+ years of experience as an executive assistant or similar role, preferably in wealth management, financial services, or professional services.
- Strong organizational and multitasking skills with meticulous attention to detail.
- Excellent written and verbal communication; professional demeanor and high level of client service.
- Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Ability to handle confidential information with discretion and integrity.
- Must be willing to sit for Series 7.
- Problem-solving mindset, proactive approach, and ability to work independently as well as collaboratively.
- Bachelor’s degree preferred; equivalent experience considered.
