About the Role
xAI is seeking an Operations Coordinator to ensure our hiring activities run smoothly in a fast-paced, high-stakes environment. You'll coordinate logistics, manage systems, and facilitate clear communication between teams, vendors, and candidates that will push the frontier of AI forward. This onsite role is based in our Palo Alto office.
Responsibilities
Coordination and Logistics:
- Schedule interviews between candidates and hiring teams.
- Lead and co-facilitate meetings, including preparing agendas and taking minutes.
- Liaise between vendors and internal teams to facilitate project execution.
- Organize schedules and maintain clear communication with stakeholders, including team members, management, and external partners.
Systems and Process Management:
- Understand and optimize all recruiting tools, systems, and processes (e.g., Greenhouse ATS).
- Ensure projects are completed within scope, on time, and within budget.
- Identify operational improvements, lead process mapping exercises, and implement changes to enhance efficiency.
- Address and resolve issues promptly to minimize disruptions.
Data and Analysis:
- Compile and analyze data to generate reports.
- Use data insights to forecast needs, identify trends, and inform decision-making.
Compliance and Support:
- Ensure operations comply with industry regulations and company policies.
Basic Qualifications
- Bachelor’s degree or equivalent
Preferred Skills & Experience
- Excellent organizational skills with strong attention to detail.
- Proficient in Google Workspace, including Google Calendar; experience with Greenhouse or similar recruiting software is a plus.
- Strong analytical and problem-solving abilities.
- Excellent communication and interpersonal skills.
- Ability to manage multiple projects simultaneously in a high-pressure environment.
Additional Requirements
- Available to occasionally work overtime, as schedules vary with operational needs; flexibility is key.
- Must be authorized to work in the US (visa sponsorship available for exceptional candidates).
Annual Pay Range
$70,000 - $85,000
