Job Summary:
Pocket FM is seeking a highly organized, proactive, and personable On-Site Office admin to oversee the day-to-day operations of our Los Angeles office. This pivotal role ensures a smooth, efficient, and welcoming environment for our employees and visitors. The ideal candidate will be a resourceful problem-solver with excellent communication and interpersonal skills, capable of handling a variety of administrative and operational tasks with meticulous attention to detail. This is an on-site position based in our Los Angeles office.
Responsibilities:
Office Operations & Administration
- Manage and maintain office supplies, ensuring adequate stock levels and placing orders as needed.
- Coordinate office maintenance and repairs, liaising with vendors and building management.
- Oversee office equipment functionality (printers, copiers, etc.) and arrange for servicing when necessary.
- Manage incoming and outgoing mail, packages, and deliveries.
- Maintain organized filing systems, both physical and electronic.
- Assist with onboarding and offboarding processes for employees, including workspace setup and access.
- Support the implementation and adherence to office policies and procedures.
Reception & Guest Experience:
- Serve as the first point of contact for visitors, clients, and candidates, providing a professional and welcoming reception.
- Manage the reception area, ensuring it is tidy and presentable.
- Answer and direct phone calls promptly and courteously.
- Schedule and coordinate meetings, conference rooms, and appointments.
- Arrange catering and refreshments for meetings and events as needed.
Administrative Support:
- Provide administrative support to various teams and individuals as required (e.g., scheduling, expense reports, travel arrangements).
- Assist with the preparation of presentations, reports, and other documents.
- Maintain company calendars and coordinate internal events.
Vendor Management:
- Source and manage relationships with office vendors (e.g., cleaning services, IT support, catering).
- Obtain quotes, negotiate contracts, and ensure cost-effectiveness.
- Track vendor performance and address any issues.
Health & Safety:
- Act as a point of contact for health and safety matters, ensuring compliance with relevant regulations.
- Coordinate emergency procedures and maintain emergency contact information.
- Ensure the office environment is safe and ergonomic.
Team Collaboration:
- Work collaboratively with other administrative staff and departments.
- Foster a positive and supportive office culture.
- Assist with ad-hoc projects and tasks as assigned.
Qualifications:
- Proven experience (3+ years) as an Office Manager or in a similar administrative role.
- Excellent organizational and time-management skills with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy.
- Exceptional communication and interpersonal skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle confidential information with discretion.
- Resourceful and proactive problem-solving skills.
- Ability to work independently and as part of a team.
- A positive and professional demeanor.
- High school diploma or equivalent required; Bachelor's degree preferred.
- Familiarity with office management software and tools is a plus.
- Knowledge of local Los Angeles vendor landscape is beneficial.
