Job Title: Executive Assistant

Work Location: St. Louis, MO (majority on-site, with some flexibility to work from home)
OVERVIEW
Native Pet is seeking an Executive Assistant to support the Co-Founders of Native Pet. This is a unique opportunity to work in a fast-paced, growth-oriented environment for one of the fastest growing start-ups in the St. Louis area.
The Executive Assistant will work with the Chief Executive Officer, Chief Financial Officer, and Chief Operating Office to support them in their day-to-day responsibilities. This will include calendar management, scheduling meetings, and coordinating travel support and logistics. In addition to administrative responsibilities, the Executive Assistant will act as our primary contact and on-site support for our office & facilities management, event planning, and special projects as they arise. This individual is a critical hire to help keep our Founders organized, efficient and productive as the business continues to scale rapidly. We are seeking someone who is highly motivated and interested in making an impact in the quickly scaling pet industry.
RESPONSIBILITIES
CEO Support:
- Manage and triage CEO’s on-going to-do list in project management software, which includes adding tasks as they come in and managing processes to ensure they are getting done.
- Prepare for the day by confirming meeting agendas, printing documents for review and ensuring calendar is prioritized effectively
- Join meetings to take notes, and manage to-do list and follow-ups from each meeting
- Execute a wide range of special projects that may include power point presentations, trips to retailers, investor communications
- Execute and organize critical legal and investor relations tasks including NDA and legal document execution as well as cap table management
C-Suite Calendar / Scheduling / Travel:
- Manage calendars for the C-suite (CEO, COO, and CFO)
- Schedule critical meetings for the executive team including quarterly / annual leadership team offsite, board meetings, and ad-hoc strategy sessions
- Coordinate travel including flights, hotels, and meals (where relevant)
- Helping with reasonable personal errands (scheduling, ordering gifts, etc)
Office Management:
- Manage organization and upkeep of the office including ordering food/drink/snacks, managing office subscriptions, coordinating cleaning crew, and ensuring office is staying orderly and organized
- Coordinate freight & shipping for samples, gifts, and other product related shipments
- Manage important vendors related to the office (furniture, technology, decorations, etc.)
Team Events:
- Plan coordinate, and execute monthly team events with the St. Louis team
- Manage quarterly leadership team offsite and any other functional team offsites
- Plan annual holiday party in St. Louis with the full-team
WHO YOU ARE
- 3+ years of experience as an executive assistant in a fast-paced, high performing professional environment
- Highly organized with strong attention to detail and task orientation
- Ability to multitask and juggle many projects without dropping anything or missing deadlines
- Excellent interpersonal & communication skills; with focus on proactive communication
- Collaborative teammate who works well with others across the organization
- Skilled problem solver who can identify problems, find the answer, and implement the solution
- Excellent project management and organizational skills
- Proficient in Microsoft Suite including PowerPoint & excel
