Executive Assistant
We are seeking a proactive and detail-oriented Executive Assistant to support the Global Head of Urban Innovation. This role requires someone who thrives in a fast-paced environment, can multitask effectively, and operates with discretion and professionalism. The ideal candidate is a strong team player, capable of working independently and managing shifting priorities with ease.
Key Responsibilities:
- Manage complex scheduling across global time zones, including meetings with senior executives and external stakeholders
- Coordinate with internal executive assistants for large meetings involving senior leadership
- Submit and track monthly expense reports (personal and corporate)
- Provide relationship management support (e.g., follow-up calls, data entry)
- Support team events and meetings, including logistics and notetaking
- Perform various administrative tasks (e.g., visitor registration, catering, parking)
Qualifications:
- Strong organizational, prioritization, and multitasking skills
- Excellent communication and interpersonal abilities
- High level of integrity and discretion when handling confidential information
- Proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel)
- Ability to work in a dynamic environment and adapt quickly
- Must be available in the Newark office at least two days per week, preferably Tuesdays and Wednesd
