We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our leadership team and help ensure smooth day-to-day operations within our workplace. This role involves a mix of administrative duties, facilities coordination, and event support!
Key Responsibilities:
- Provide administrative support to senior leadership and department teams, including calendar management, meeting scheduling, and expense reporting
- Serve as a point of contact for workplace and facilities-related requests; coordinate solutions in a timely manner
- Handle front desk operations such as greeting visitors, managing phone lines, and overseeing office inboxes
- Assist with workplace coordination including desk reservations, supply audits, and ID badge/access management
- Support preparation and logistics for internal events, meetings, workshops, and office reconfigurations
- Draft and edit communications, presentations, reports, and signage
- Track invoices and liaise with vendors as needed
- Maintain safety protocols, assist with emergency preparedness, and ensure compliance with building and environmental standards
- Work independently on confidential projects, often with minimal supervision
- Build strong relationships with both internal teams and external partners
Preferred Qualifications:
- 3–5 years of administrative or executive assistant experience
- High school diploma required; bachelor’s degree preferred
- Proficiency in Microsoft Office Suite and calendar/email systems (Outlook, Google Workspace, etc.)
- Strong written and verbal communication skills
- Ability to manage competing priorities and take initiative
- Demonstrated professionalism, discretion, and sound judgment
