JOB DESCRIPTION We're seeking a seasoned Office Administrator who thrives in a dynamic environment and possesses a knack for IT troubleshooting. This role is pivotal in ensuring our headquarters runs efficiently, supporting administrative functions, the Facilities Department, and basic IT needs.
ESSENTIAL DUTIES & RESPONSIBILITIES Administrative Duties:
- Manage daily office operations, ensuring a smooth and efficient work environment.
- Coordinate meetings, appointments, and travel arrangements for staff.
- Handle correspondence, including emails, phone calls, and mail distribution.
- Maintain organized filing systems, both physical and digital.
- Oversee inventory and ordering of office supplies and equipment.
- Assist in preparing reports, presentations, and data analysis as needed. Facilities Support:
- Provide administrative support for the Facilities Department.
- Track and prioritize maintenance requests across multiple locations.
- Coordinate schedules with vendors and contractors for repairs and upgrades.
- Maintain records of facility inspections, contracts, and service agreements.
- Assist with planning and tracking of facilities-related budgets and expenses. IT Support:
- Serve as the first point of contact for basic IT issues, providing prompt troubleshooting and solutions.
- Set up and configure new hardware and software for staff.
- Liaise with external IT support providers for complex issues and system maintenance.
- Maintain an inventory of IT equipment and ensure timely updates and upgrades.
- Provide training and support to staff on commonly used software and tools. QUALIFICATIONS
- Minimum of 3 years of experience in office administration, preferably in a corporate setting.
- Proficiency in Microsoft Office Suite and familiarity with other common office software.
- Basic understanding of IT systems, networks, and troubleshooting techniques.
- Strong organizational and multitasking abilities.
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Bachelor’s degree in Business Administration, Information Technology, Facilities Management, or a related field is preferred.
