The role:
We are seeking an organized, proactive, and resourceful Executive Assistant and Office Manager to provide high-level administrative support to the CEO while ensuring the smooth daily operation of the office. This role requires exceptional attention to detail, strong communication skills, and the ability to juggle multiple priorities in a fast-paced environment.
Responsibilities:
- Manage the CEO’s calendar, schedule meetings, and prioritize in partnership with the CEO
- Arrange domestic and international travel, including flights, accommodations, and itineraries
- Manage and maintain CEO`s expenses and travel budget
- Proactively prepare meeting agendas, presentations, and supporting materials
- Lead execution of CEO led meetings including quarterly townhall, board meetings, and leadership meetings
- Take detailed meeting notes and ensure timely follow-up on action items
- Oversee daily office operations, including ordering supplies and maintaining employee needs
- Partner with the leadership team to manage and execute executive-level projects and presentations, ensuring alignment, timely delivery, and high-quality outcomes
- Coordinate and track office maintenance requests to ensure timely resolution
- Work in partnership with IT and HR to support new hire setup
- Serve as the main point of contact for office vendors and service providers
- Support special projects and initiatives as assigned by the CEO
- Maintain confidentiality and handle sensitive information with discretion
Requirements:
- 5+ years of experience as an Executive Assistant, Office Manager, or similar role
- Experience in retail or luxury retail preferred
- Strong organizational and time management skills with the ability to prioritize effectively
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite and other productivity tools
- Proven ability to handle confidential information with integrity
- Strong problem-solving skills and a proactive, solution-oriented mindset
- Ability to work both independently and collaboratively in a fast-paced environment
