We are looking for a detail-oriented Special Events Associate to join our team in New York, New York. This Contract-to-permanent opportunity position offers an exciting opportunity to support special events and donor cultivation efforts within a non-profit organization. The ideal candidate will play a key role in event coordination, administrative tasks, and donor communication, ensuring seamless execution of events and fundraising initiatives.
Responsibilities:
• Assist with planning and executing special events, including fundraising galas, luncheons, golf tournaments, wine tastings, and receptions.
• Provide administrative support before and after events, including managing financial records, processing invoices, and archiving materials.
• Track event revenue and expenses to ensure budget adherence.
• Communicate directly with donors to confirm guest details, seating arrangements, and pledge payments.
• Coordinate with vendors to order event materials and manage logistics.
• Supervise volunteers, staff teams, and vendors during events, ensuring smooth operations.
• Draft correspondence, organize mailings, and prepare printed materials such as invitations, programs, and nametags.
• Collaborate with the marketing team on the creation of event-related materials and manage mailing lists.
• Support on-site event management, including production schedules, load-ins, and post-event close-down.
• Utilize fundraising software to maintain accurate donor and event records, including mailing lists and attendance tracking.Special Events Associate
• Minimum of 2 years of experience in project assistance, event coordination, or a related field.
• Proficiency in project management tools and techniques, including timeline management and master scheduling.
• Skilled in using Microsoft Excel and Raiser's Edge for data tracking and reporting.
• Strong organizational abilities with expertise in managing expense reports, invoices, and bulk mailings.
• Familiarity with special event planning, including vendor coordination and on-site logistics.
• Excellent communication skills, comfortable liaising with high-net-worth donors and diverse stakeholders.
• Ability to multitask effectively while maintaining attention to detail.
• Experience in managing volunteers and staff teams during events.
