Job Summary:
We are seeking a highly organized and proactive Executive Assistant to support senior leadership in a fast-paced, dynamic environment. This role requires exceptional communication and organizational skills, professionalism, and discretion. The Executive Assistant will serve as a key liaison between the executive team and internal/external stakeholders, including the Board of Directors.
Key Responsibilities:
- Calendar & Meeting Management:
- Coordinate complex calendars, schedule meetings, manage appointments, and anticipate scheduling conflicts. Prepare materials and agendas as needed.
- Travel Coordination:
- Arrange domestic and international travel, including flights, accommodations, transportation, and detailed itineraries. Manage last-minute changes with ease and efficiency.
- Presentation & Communication Support:
- Draft, format, and edit presentations, reports, and other executive-level documents. Assist with speech prep and ensure materials are polished and professional.
- Board Support:
- Facilitate communication with the Board of Directors, prepare board packets, take minutes when needed, and support logistics for board meetings or events.
- Event Planning:
- Coordinate logistics for offsite meetings, conferences, executive retreats, and company events. Manage vendors, contracts, and budgets as required.
- Office & Administrative Support:
- Handle confidential information with discretion, prioritize multiple tasks seamlessly, and support other administrative duties as needed.
Qualifications:
- Proven experience supporting C-level executives or senior leadership
- Exceptional written and verbal communication skills
- Strong proficiency in Microsoft Office Suite (PowerPoint, Outlook, Excel, Word)
- Comfortable presenting in front of leadership and board members
- Highly organized with the ability to multitask and manage competing priorities
- Discretion and professionalism when dealing with sensitive information
- Bachelor’s degree preferred
Additional Requirements:
- Availability to travel occasionally or adjust working hours to support executives in different time zones
- Ability to work independently with a high degree of initiative
