Job Summary:

We are seeking a highly organized and proactive Executive Assistant to support senior leadership in a fast-paced, dynamic environment. This role requires exceptional communication and organizational skills, professionalism, and discretion. The Executive Assistant will serve as a key liaison between the executive team and internal/external stakeholders, including the Board of Directors.

Key Responsibilities:

Calendar & Meeting Management:
Coordinate complex calendars, schedule meetings, manage appointments, and anticipate scheduling conflicts. Prepare materials and agendas as needed.
Travel Coordination:
Arrange domestic and international travel, including flights, accommodations, transportation, and detailed itineraries. Manage last-minute changes with ease and efficiency.
Presentation & Communication Support:
Draft, format, and edit presentations, reports, and other executive-level documents. Assist with speech prep and ensure materials are polished and professional.
Board Support:
Facilitate communication with the Board of Directors, prepare board packets, take minutes when needed, and support logistics for board meetings or events.
Event Planning:
Coordinate logistics for offsite meetings, conferences, executive retreats, and company events. Manage vendors, contracts, and budgets as required.
Office & Administrative Support:
Handle confidential information with discretion, prioritize multiple tasks seamlessly, and support other administrative duties as needed.

Qualifications:

Proven experience supporting C-level executives or senior leadership
Exceptional written and verbal communication skills
Strong proficiency in Microsoft Office Suite (PowerPoint, Outlook, Excel, Word)
Comfortable presenting in front of leadership and board members
Highly organized with the ability to multitask and manage competing priorities
Discretion and professionalism when dealing with sensitive information
Bachelor’s degree preferred

Additional Requirements:

Availability to travel occasionally or adjust working hours to support executives in different time zones
Ability to work independently with a high degree of initiative
