Project Manager
The Project Manager is responsible for maintaining an in-depth knowledge of the agency’s largest accounts and actively participating in planning, scheduling, and execution discussions. Key duties include managing timelines, providing quotes, coordinating with production teams, and overseeing the flow of creative projects, including communication with client contacts regarding creative briefs.
Additionally, this role ensures that all deliverables adhere to brand guidelines and maintains oversight of creative trafficking, including the proofing and approval processes.
KEY JOB RESPONSIBILITIES
- Provide best-in-class service to Client Solutions team and clients
- Maintain comprehensive knowledge across the largest accounts
- Maintain awareness of campaign planning including channels, quantities, spend levels, lines of business, key initiatives, and more.
- Participate in planning and scheduling calls involving production and creative
- Engage in executional discussions and kick-off meetings with internal and external teams
- Correspond with client contacts regarding creative briefs.
- Collaborate with external designers on new iterations and creative concepts.
- Conduct review of creative content, ensuring compliance with specifications, layout requirements, and direction provided in brief.
- Oversee project quote and billing process for creative designers.
- Collaborate with account team to address inquiries for quotes before providing information to Production
- Liaise with production contacts to support scheduling-related queries
- Draft and submit quote requests to production
- Perform initial review of production pricing, comparing to prior jobs to ensure best pricing
- Handle scheduling-related queries and liaise with production contacts; Assist the account team in communicating schedules as needed.
- Proactively follow up on upcoming deliverables and due dates.
- Work with production to develop new format ideas and samples and innovations for USPS discounts
- Ensure postal statements are received for all projects, review and compare to amounts billed
- Collaborate with external designers on new iterations and creative concepts.
- Perform the first round of proofing, ensuring necessary edits and appropriate layout, Ts and Cs, promo codes, merchant logos, and more.
- Obtain account team stakeholder approval.
- Review hard copy or color proofs as needed.
- Provide executional support for job booking including client ready pricing grids, PAFs, production orders, and more
- Provide support across creative development and submission including sourcing and providing templates, design collaboration, creative/layout compliance, brand guidelines, and more.
- Support proofing process, serving as first round of proofing, obtaining hard and/or soft proofs as needed, obtaining necessary approvals from the team.
- Participate in relevant educational opportunities and proactively share insights with team members
QUALIFICATIONS
- Bachelor’s degree in business, communications or marketing concentration preferred
- 1+ year professional experience, media internship or agency experience desired
- Demonstrated ability to prioritize requests and meet tight deadlines
- Problem-solving and conflict resolution
- Accurate and precise attention to detail; well-organized
- Strong written and verbal communication skills
- Strong skills in MS Office, including Outlook, Excel, Word, and PowerPoint
