Job Overview
The Office and Administrative Associate will be responsible for ensuring smooth day-to-day operations of the office through exceptional organizational, communication, and administrative support. Success in this role requires a hands-on approach with meticulous attention to detail, proactive problem-solving, taking pride in creating positive experiences, and the ability to manage multiple priorities in a fast-paced environment. The role also involves collaborating with team members and external partners to support the overall efficiency and effectiveness of office functions. The position reports to the People Operations Specialist.

Key Impacts and Outcomes: Office & Admin Operations
- Support administrative needs across multiple departments, including booking travel, expense reporting, and calendar management
- Assist with office maintenance and support safety/security protocols, reporting any maintenance needs or safety concerns to their manager and/or the building’s Property Manager
- Ensure the office, including meeting rooms, is tidy, organized, and welcoming for employees and visitors
- Coordinate and own relationships with facilities, company vendors, and property management (e.g., night cleaning vendors, etc.)
- Greet interview candidates and office visitors, creating a positive experience and strong first impression
- Identify opportunities for process and office management improvements, and design and implement new systems
- Receive, sort, scan, and distribute incoming mail and deliveries, and manage outgoing mail
- Maintain an organized and well-stocked office by managing and ordering supplies, refreshments, and snacks as needed
- Maintain confidentiality and handle sensitive information with discretion and professionalism
Employee Experience Support
- Assist with the onboarding of new employees, ensuring they are equipped with workstations and equipment setups, and facilitating their comfort and acclimation to their new environment
- Partner with the IT team to manage employee equipment, including collecting, storing, and reconfiguring devices
- Contribute to positive workplace culture through proactively supporting People Ops initiatives and employee engagement activities
Event Coordination
- Coordinate and facilitate internal and external meetings, including booking conference rooms, arranging catering, and preparing meeting materials
- Plan, coordinate, and execute company events and team gatherings
- Handle event logistics, including pre-event preparation and post-event cleanup
Qualifications/Requirements
- Ability to work in the office Mondays - Wednesdays, with occasional need for extended hours or additional in-office days
- Hands-on approach: Comfortable with diverse tasks ranging from administrative work to physical setup and cleanup
- Detail-oriented and takes pride in maintaining the office space; understands that every detail contributes to the overall workplace experience
- 3+ years of relevant experience, ideally at a start-up or other fast-paced, high-growth environment
- Knowledge of office administration responsibilities, systems, and procedures
- Resourceful in problem-solving and works well independently
- Proactive mindset, resiliency to changing environments, attention to detail, collaborative, ability to manage multiple competing priorities
- Proficient in MS Office and/or Google Suite. Able to quickly learn new software
- High school diploma or equivalent; some college preferred

The actual compensation offer will be based on the candidate’s location, skills, level of expertise and experience, and internal equity considerations. In addition to base salary, we offer a comprehensive benefits package and, where applicable, performance-based incentives.
