Project Coordinator
Position Overview
We’re seeking a highly organized and driven Project Coordinator to manage the execution of client-facing projects from start to finish. In this role, you will coordinate resources, schedules, and cross-functional teams to ensure each project runs smoothly and meets deadlines. This position plays a vital part in aligning internal operations with customer expectations, while maintaining high standards for communication, documentation, and quality.
Key Duties & Responsibilities
Project Execution & Support
- Plan, track, and coordinate project activities in alignment with customer timelines and internal workflows
- Serve as the primary point of contact for project stakeholders including clients, vendors, and internal departments
- Collaborate with operations and logistics teams to ensure that all materials and resources are available and ready for each phase of the project
- Identify potential bottlenecks or issues early, implementing solutions to keep projects on track
- Monitor ongoing projects to ensure accuracy, consistency, and on-time completion
Team Coordination & Process Oversight
- Facilitate internal scheduling based on current project pipeline and labor availability
- Assist with team assignments and allocation of resources such as vehicles or tools
- Support hiring and onboarding efforts for project support staff and temporary help
- Maintain accountability for compliance with company standards and safety protocols
- Track and report project team hours and forecast labor needs as necessary
Administrative & Logistics Support
- Maintain accurate records for all active projects, including timelines, task lists, documentation, and client correspondence
- Ensure that all product or material issues are reported, tracked, and resolved with appropriate parties
- Coordinate closely with warehouse and delivery personnel to confirm readiness and delivery timelines
- Keep shared project documentation organized and up to date for internal use and reporting
- Support inventory movement and ensure site readiness prior to project start dates

Qualifications
- 3+ years’ experience in project coordination, logistics, or operations (furniture, FF&E, or construction industries a plus)
- Strong grasp of project timelines, resource management, and workflow planning
- Comfortable using Microsoft Office Suite, scheduling software, and basic project tracking tools
- Must have a valid driver’s license and clean driving record
- Bilingual in English and Spanish is a plus
