The Role
We’re NOT looking for someone to simply “answer phones and file paperwork.” You’ll be the CEO’s right hand, an organizational powerhouse, and a people-operations champion for nearly 65 employees across two dynamic businesses . You’ll own the flow of high-value projects, orchestrate seamless office operations, and ensure our teams stay aligned and energized.
What You’ll Do
Executive Office Management & Strategic Support (≈50%)
- Partner with the CEO: Anticipate needs, manage calendar and travel, own high-impact initiatives, and keep executive projects on track.
- Communication & Coordination: Draft and refine presentations, board materials, investor updates, and cross-functional memos. Facilitate leadership meetings—setting agendas, capturing action items, and driving accountability.
- Office Operations: Oversee HQ logistics from vendor relationships (IT, real estate, legal) to supplies, space planning, and hybrid-work scheduling.
People Operations & Culture (≈50%)
- Talent Acquisition & Onboarding: Lead full-cycle recruiting for clinical, technical, and operations roles. Craft an exceptional candidate experience and ensure every new hire feels supported.
- HR Administration: Manage benefits, payroll coordination (via Rippling), employee records, and compliance across multi-state jurisdictions.
- Culture & Engagement: Drive performance-review processes, coordinate training programs, and organize all-hands and team-building events that reinforce our mission and values.
Who You Are
- Experience: 3–5 years bridging Executive Assistant or Office Manager duties with HR/People Operations—ideally in a mid-sized tech company or high-growth startup.
- HR Credentials: PHR, SHRM-CP, or equivalent certification is a strong plus.
- Tech-Savvy: Comfortable mastering modern AI tools (Notion, ChatGPT, Gemini), Asana, Google Workspace, and HRIS systems like Rippling.
- Leader & Doer: You thrive in fast-paced environments, juggle multiple priorities without dropping the ball, and pivot smoothly between strategic planning and hands-on execution.
- Relationship Builder: Exceptional communicator with high emotional intelligence, able to work confidentially and earn trust across all levels.
