Key Role and Primary Responsibilities
Reporting directly to the CEO & Managing Partner, the Executive Assistant will provide executive support in a one-on-one working relationship. The Executive assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the CEO. The Executive Assistant also serves as a liaison to the senior management team; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The-executive assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizations skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on special projects, from conception to completion, and must be able to work under pressure at times to handle a variety of activities and confidential matters with discretion.
Responsibilities
- Act as the point of contact among executives, employees, clients and other external partners
- Assist with preparing appropriate records for personal taxes
- General office manager duties including ordering office materials and supplies
- Maintain comprehensive and accurate records and files
- Make travel and accommodation arrangements
- Manage business/personal bills and invoices such as monthly mortgages, loan payments, charitable contributions, and utilities
- Manage CEO’s calendars and set up meetings
- Manage information flow in a timely and accurate manner
- Perform human resource functions and maintain employee records and files
- Performing accounting duties
- Prepare health, auto and home insurance claims and track reimbursements
- Provide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the CEO’s behalf
- Take minutes during meetings
- Track the CEO’s investments and bank balances
Skills

- Advanced knowledge of Microsoft Excel (finance background is a plus)
