Position Overview
The Administrative Assistant will play a crucial role in ensuring the efficiency of daily office operations while providing high-level administrative support to the Office Manager and two Vice President-level executives. This position requires a proactive and highly organized professional who can handle a broad range of responsibilities, from front office management to executive support and office coordination. The Administrative Assistant will serve as the first point of contact for guests and visitors, ensuring a seamless and professional experience. They will be responsible for managing incoming calls, scheduling meetings, maintaining conference room availability, and handling office correspondence. Additionally, they will oversee office organization, track supply inventory, coordinate with vendors, and ensure a well-maintained and efficient work environment. This individual will also support executive leadership with calendar management, domestic and international travel coordination, expense reporting, and preparing materials for meetings and presentations. As part of fostering a positive and engaging workplace culture, the Administrative Assistant will assist in planning and executing internal events, such as team outings, quarterly gatherings, and client hospitality functions. To succeed in this role, the ideal candidate must demonstrate excellent communication skills, attention to detail, discretion, and the ability to multitask effectively in a high-touch professional environment.
Responsibilities Of The Administrative Assistant
- Act as the primary point of contact for visitors, ensuring a polished and professional reception experience.
- Answer and direct incoming phone calls, respond to inquiries, and manage office correspondence.
- Maintain an organized and professional front office and reception area.
- Provide comprehensive administrative support to executives, including scheduling, calendar management, and meeting coordination.
- Coordinate domestic and international travel arrangements, process expense reports, and assist with document preparation.
- Manage office supplies, liaise with vendors, and ensure smooth day-to-day office operations.
- Assist with event planning, including team gatherings, client meetings, and office celebrations.
- Handle ad hoc administrative tasks and projects as assigned.
Required Experience/Skills for the Administrative Assistant:
- 2+ years of experience in an administrative or receptionist role, preferably within a corporate, financial services, or professional services environment.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Exceptional organizational skills and ability to multitask in a fast-paced setting.
- Excellent written and verbal communication skills with a high level of professionalism.
- Strong attention to detail, problem-solving abilities, and discretion in handling confidential information.
- Ability to work independently while also collaborating with internal teams.
Education Requirements:
- Associate's or Bachelor's degree is required.
