Our company is seeking a highly organized and proactive Executive Assistant to support a Division President. This role is instrumental in keeping operations running smoothly across a high-growth, fast-paced national solar business. You will manage complex travel logistics, including private aviation, coordinate leadership meetings and off-site events, and act as a trusted partner handling confidential matters with discretion. The ideal candidate is detail-driven, hospitality-minded, and thrives in a dynamic, high-performance environment.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
- Provide comprehensive administrative support to the President, including calendar management, travel arrangements, and expense reporting
- Coordinate internal and external meetings, including scheduling, agenda preparation, logistics, and follow-ups
- Manage sensitive and confidential information with discretion and integrity
- Strategic & Operational Support
- Act as a liaison between the President and internal/external stakeholders, including executive leadership, clients, and vendors
- Prepare briefing materials and background documents for meetings and presentations
- Support strategic initiatives and special projects as assigned by the President, ensuring timely completion
- Monitor progress on key projects and ensure follow-through on assigned action items
- Assist with event planning for leadership meetings, offsites, and corporate functions
- Coordinate with other executive assistants and administrative staff across departments to align priorities and scheduling
- Maintain and organize files, both physical and electronic, ensuring accurate records management
EDUCATION AND WORK EXPERIENCE
- Bachelor’s degree or equivalent experience.
- 5+ years of executive-level administrative experience, preferably supporting C-suite executives in a large organization
- Strong organizational and project management skills
- Exceptional written and verbal communication abilities
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual collaboration tools
- Proven ability to handle confidential information with the utmost discretion
- High emotional intelligence and interpersonal skills
