POSITION: Executive Administrative Assistant & Liaison (EAAL)
POSITION SUMMARY:
The Executive Administrative Assistant & Liaison (EAAL) is a pivotal member of the team, responsible for managing and streamlining a wide range of administrative operations. This role supports Executive leadership across multiple time zones in the U.S. and Europe, ensuring efficient coordination of meetings, appointments, and events across diverse internal and external teams, maintaining accuracy and responsiveness in a fast-paced environment."
As the primary point of contact between the Organization and its third-party vendors, patients, business development partners, and ordering providers, the EAAL facilitates seamless communication and process alignment across internal and external stakeholders.

RESPONSIBILITIES:
· Provide high-level administrative support to leadership, ensuring smooth day-to-day operations.
· Manages and coordinates complex calendars and scheduling across leadership, team members and departments, ensuring optimal alignment of meetings, events, and deadlines.
· Manage the ordering, tracking, shipping, and distribution of all necessary supplies, kits, and related materials.
· Serve as the central liaison across all non-clinical operational areas, including internal teams, sales, clients, facilities, providers, leadership, and laboratory personnel.
· Develop and maintain policies and procedures in alignment with HIPAA, laboratory standards, and state, federal and international regulations, in collaboration with the Compliance Manager, Lab Manager and Leadership.
· Prepare and submit reports for internal audits and external requests from federal, state, international or insurance entities.
· Manage all communications across all internal and external sources.
· Generate, analyze, and interpret operational and revenue projection reports to support strategic decision-making.

EDUCATION & EXPERIENCE
· Relevant education and/or professional experience in Executive management support and operations. demonstrating proficiency, customer service, operational workflows, accounting, and data analysis.
· 3+ years Executive Administrative Support or equivalent experience
· Preferred: Knowledge of healthcare or laboratory operations and systems.
TECHNICAL SKILLS PREFERRED:
· Microsoft suite of products (Power Point, Excel, Word) portal navigation.
· Experience with CRM products (e.g. Monday, SharePoint, Salesforce)
· Healthcare business systems a plus
