Role Overview
We are seeking an experienced and assertive
Project Coordinator / PMO Analyst on a contract basis to support project governance, reporting, and delivery oversight for a high-visibility program. This role will ensure timelines, deliverables, and quality standards are met by coordinating across internal teams, vendors, and leadership stakeholders, while driving accountability. The role also requires strong creative skills to prepare executive presentations, leadership newsletters, and other high-impact communications, as well as supporting budgeting, project spend tracking, business case preparation, and roadmap development.
Contract Duration: 6-12 months
Key Responsibilities
- Manage and enforce project governance processes, templates, and reporting cadence.
- Prepare and consolidate weekly status reports, Steering Committee updates, and leadership communications.
- Coordinate and facilitate weekly project meetings, capturing actions and ensuring timely closure.
- Track milestones, deliverables, and dependencies across delivery and vendor teams.
- Escalate delays or risks promptly and ensure corrective actions are taken.
- Design and deliver polished, visually engaging presentations, newsletters, and program updates for leadership and stakeholders.
- Support budgeting and project spend tracking, ensuring alignment with approved allocations.
- Assist in business case preparation, cost-benefit analysis, and financial justification for initiatives.
- Help prepare and maintain the program roadmap and ensure updates are reflected in governance forums.
- Maintain RAID logs, project plans, and documentation repositories.
Requirements
- 5+ years of project coordination or PMO experience in a complex, multi-stakeholder environment.
- Strong understanding of project governance, status reporting, and meeting facilitation.
- Advanced proficiency in MS PowerPoint and Excel, with proven creative presentation design skills.
- Hands-on experience with MS Project or Smartsheet for project scheduling and tracking.
- Excellent communication and interpersonal skills with the ability to be firm and assertive.
- Detail-oriented, proactive, and able to work under tight deadlines.
- PMP or Prince2 certification preferred.
- Experience in life sciences, biotech, or other regulated industries preferred.
- Skills in graphic design tools (e.g., Canva, Adobe) for enhanced presentation and newsletter creation preferred.
