Hybrid- onsite 1- 3 times a week
Key Responsibilities:
- Provide support for a smooth and efficient recruitment experience in partnership with Talent Acquisition and HR teams
- Coordinate video and onsite interview scheduling with recruiters and hiring managers
- Utilize the applicant tracking system (iCIMS or similar) to track requisitions and support candidate processing
- Prepare accurate and timely offer letters
- Initiate and monitor background checks and drug screening processes in accordance with company procedures
- Process COBRA reimbursements for new hires as applicable
- Manage HR tasks related to onboarding, including system data entry (Workday), paperwork coordination, and communication with new hires and managers
- Provide administrative support for New Hire Orientation sessions
- Maintain and update personnel files and HR documentation
- Handle confidential information with a high level of discretion
- Respond to employee inquiries related to benefits and policies; monitor shared HR inbox and ensure timely follow-up
- Support FMLA and leave-of-absence coordination with HR Generalists
- Generate and validate standard and ad hoc HR reports for compliance and organizational needs
- Assist in sharing HR policies and information through internal communications and meetings
- Coordinate HR events and celebrations (onsite or virtual)
- Order floral arrangements and supplies for employee-related events
- Ensure compliance with applicable federal and state employment laws
Required Qualifications:
- Must be authorized to work in the U.S. without current or future sponsorship
- Minimum of 1 year of experience in HR and/or Talent Acquisition at the coordinator level or higher
- Proven experience with data entry and HR systems
- Demonstrated customer service experience with both internal and external stakeholders
- Proficiency in Microsoft Office, including advanced Outlook and intermediate Excel and PowerPoint
- Commitment to incorporating security and data protection into all job responsibilities
Preferred Qualifications:
- Experience using HRIS platforms such as Workday or Dayforce
- Familiarity with applicant tracking systems like iCIMS
- Experience with scheduling interviews and calendar coordination
- Comfortable generating standard and ad hoc HR reports and data analysis
- Experience with FMLA case coordination and leave administration

Overview:
We are seeking a detail-oriented and proactive HR Coordinator to support a variety of cross-functional Human Resources activities. This contract position provides administrative support in areas such as personnel record maintenance, system data entry, onboarding, and general HR operations. This role is also responsible for ensuring timely and accurate processing of forms and documentation, as well as managing multiple data entry and tracking tasks.
The HR Coordinator will work closely with recruiters, hiring managers, candidates, and extended HR teams to support recruitment and hiring workflows. This position also contributes to broader employee engagement initiatives by helping coordinate onsite or virtual events and celebrations.
