Job Description
The
Brand Operations Coordinator supports the daily operations of the Brand department through a range of administrative and operational tasks. This role requires attention to detail, solution-oriented thinking, and collaboration across teams, including Logistics and Finance, to ensure timely and budget-conscious delivery of Brand initiatives that align with APNA objectives.
RESPONSIBILITIES:
Logistics
- Serve as the primary point of contact for photoshoots, loans, marketing tray pieces, and event-related watch movements in coordination with the Sales Administration and PR & Influence teams.
- Manage Marketing Tray requests based on PR and commercial needs; act as a liaison between the Brand team, HQ, and Sales Administration.
- Consolidate watch requests from the PR and Brand Experience teams, prepare the watch request form for Head of Brand approval, and coordinate consignments with the Sales Administration.
- Partner with the Director of Security to coordinate event security for events without high-value goods.
- Support Swiss Risk compliance efforts for events not involving high-value goods.
- Ensure compliance with internal control requirements and proper documentation.
Finance
- Oversee the Brand Experience team’s monthly budget, ensuring accurate monthly close and reconciliation in partnership with the Finance team.
- Assist in annual budget preparation and presentation.
- Conduct monthly PO reconciliation and pre-close reviews for the Brand Experience department.
- Reconcile Amex statements for each Brand entity.
- Track event and activation program budgets to monitor and forecast expenditures.
- Perform monthly, quarterly, and latest estimate reconciliations; provide comments to APNA Finance and HQ.
- Set up vendors, create POs, submit invoices, and track payments for event team members (Brand Experiences and Retail Events).
- Ensure adherence to audit and internal control requirements, including DOA and procurement guidelines.
Brand Support
- Prepare presentations and reports, including pre- and post-event briefs, executive summaries, and facesheets.
- Serve as the Brand Team’s Salesforce expert, managing CRM data entry (e.g., contact creation, campaign tool management).
- Assist with campaign entries and reporting as needed.
- Handle administrative tasks, such as creating travel itineraries for HQ visits and coordinating team agendas for business trips and large-scale meetings.
Qualifications
- 2-3 years’ experience in logistics, operations and/or finance preferred.
- Strong presentation skills (deck writing & MS Excel skills) is a must.
- Familiarity with Salesforce, CRM tools, and budget management.
- Excellent communication and collaboration abilities.
- Strong organizational and analytical skills.
- Detail-oriented with a solution-driven mindset.
- Knowledge and understanding of operations procedures.
- Working within deadlines, quality, and costs- Ability to multi-task is a must.
- Proactively self-checking and cross-verifying work under one's own responsibility.
- Ability to work in fast-paced environment on multiple projects simultaneously.
- Prioritization of projects and work effectively.
- Adaptable, flexible, and able to maintain a positive attitude under pressure.
- Prior experience in finance or project management, proficiency in financial tracking and reporting.
- Interest in luxury goods preferred.
- Experience coordinating logistics and operations within a brand-focused environment preferred.
Additional Information
Audemars Piguet offers a competitive and comprehensive compensation and benefits package. The salary range for this position is $65k-$70k annually. This role is eligible for bonus. Salary will be based on relevant skills and experience.
