Job Description
We are seeking a highly capable and discreet Executive Assistant to support our CEO in all aspects of business and personal life. This is a pivotal role suited to a polished operator who thrives in a fast-paced, entrepreneurial environment and brings exceptional judgment, efficiency, and attention to detail. You will be the CEO’s right hand, enabling him to lead effectively across multiple time zones and responsibilities.
Executive Support
- Proactively manage the CEO’s calendar, across time zones and business units, ensuring optimal prioritization and alignment with strategic goals
- Coordinate domestic and international travel, including flights, accommodations, itineraries, and visas
- Prepare materials for board sessions
- Track key actions, projects, and deadlines, ensuring follow-through and accountability
- Assist with formatting, proofreading, and version control of strategic documents and presentations
Leadership & Operational Liaison
- Act as a central point of coordination between the CEO and the executive leadership team
- Attend select meetings to capture actions and maintain project momentum
- Help manage confidential HR and legal documentation and relationships with stakeholders
Personal, Family & Property Support
- Oversee personal calendar items, appointments, and family commitments
- Support CEO’s spouse with contractors, property management and select domestic admin
- Assist with family travel arrangements and logistics for the CEO’s children (e.g. school schedules, extracurriculars, etc.)
- Support broader personal administration (e.g. gift sourcing, event RSVPs, reservations)
Other Duties
- Maintain strict confidentiality and discretion at all times
- Be responsive outside of traditional hours when needed to accommodate international time zones or urgent matters
Qualifications
- Minimum 4+ years of experience supporting a CEO, founder, or senior executive
- Exceptional organizational, communication, and problem-solving skills
- Highly tech-literate (MS Office, travel tools, task/project management systems)
- Calm under pressure, emotionally intelligent, and grounded in discretion
