Job Description:
The Foundation Project Manager is a key member of the Foundation Team and plays a pivotal role in advancing the strategic objectives of VNA Health’s philanthropic initiatives. This exempt-level position serves as a trusted partner to senior leadership, providing strategic insight and high-level operational support across a range of mission-critical activities. With a strong emphasis on independent judgment and discretion, the Foundation Project Manager leads stewardship of the donor data system, orchestrates high-profile fundraising events, and develops analytical reports and communications that directly inform executive leadership and Board governance. This role champions a forward-thinking, data-driven approach to philanthropy, ensuring alignment with best practices and organizational priorities. A critical driver of VNA Health’s fundraising events, the Foundation Project Manager oversees planning and execution from start to finish, managing logistics, timelines, vendors, and budgets to ensure successful outcomes. With strong attention to detail and initiative, this role ensures each event reflects the organization’s mission and engages donors meaningfully. Operating with professionalism, efficiency, and a high degree of autonomy, the Foundation Project Manager collaborates across departments to contribute to innovative donor engagement strategies, uphold exemplary stewardship standards, and elevate the organization’s philanthropic footprint through mission-aligned events and communications.
Job Duties:
- Serve as the recognized subject matter expert for DonorPerfect, ensuring the integrity, accuracy, and optimization of donor records and online forms
- Develop and analyze comprehensive reports derived from DonorPerfect to support strategic decision-making by the Executive Team and Board of Directors
- Maintain current and well-organized donor lists and campaign records to underpin event planning and donor segmentation strategies
- Proactively identify meaningful data trends and deliver actionable insights that drive enhanced donor engagement and cultivation strategies
- Lead and oversee fundraising activities with a focus on the meticulous planning, coordination, and execution of year-round donor engagement events
- Manage the timely and accurate donor acknowledgment process, including personalized communications, tax letters, and employee giving programs
- Oversee all pre-event and day-of-event logistics, ensuring flawless execution characterized by attention to detail and professionalism
- Manage weekly bank deposits (typically three times weekly), monthly reconciliations, and support invoice processing in partnership with Finance
- Support donor stewardship and event logistics efforts, including coordination of the AppreciationGarden, acknowledgment updates, and internal meeting support
- Represent the organization with polished professionalism and integrity at donor events, community engagements, and other external functions
- Serve as a dependable and proactive team partner during peak event periods by managing critical operational details to guarantee seamless execution
- Act as a key collaborator and trusted partner with Marketing & PR, Volunteers, Finance, and Program teams to advance fundraising initiatives
- Independently represent the organization articulately and persuasively to internal and external stakeholders
- Provide general team support, including running errands, donation pick-ups, and administrative tasks as needed
- Manage all logistical aspects of Development Committee Meetings, including scheduling, venue setup, presentation development, and minute-taking
- Develop and update standard operating procedures (SOPs) for DonorPerfect processes to ensure consistent and effective use

Qualifications:
- 5–7 years of experience in a donor- or client-facing role, including direct interaction with high- profile individuals
- Advanced technical proficiency and the ability to quickly learn and adapt to donor databases, CRM systems, and related platforms; experience with DonorPerfect is highly desirable
- Highly proficient in Microsoft Office Suite (particularly Word and Excel), and digital communication tools; comfortable navigating multiple technology platforms to support donor engagement and operational efficiency
- Exceptional written and verbal communication skills, with the ability to convey complex information clearly and persuasively across a range of audiences
- Skilled in tailoring messaging and engagement strategies to meet the needs of diverse stakeholders, including high-net-worth donors, board members, and executive leadership
- Calm and composed under pressure, able to maintain focus and deliver results within fast-paced, deadline-driven environments
- Demonstrated experience in planning, managing, and executing high-visibility donor events and engagement activities
- Excellent interpersonal and customer service skills, with a polished, professional presence
- Meticulous attention to detail and a commitment to producing accurate, high-quality work
- Confident and comfortable engaging with senior leadership and representing the organization in high-profile or public settings
- Exceptional organizational and time-management skills, with the ability to reprioritize responsibilities to meet evolving business needs

- Bachelor’s degree preferred; equivalent experience in development, nonprofit management, or a related field may substitute for formal education
