Position Overview
The Distribution Clerk plays a key role in supporting logistics and distribution operations by performing clerical tasks, maintaining records, verifying documentation, and coordinating shipments with third-party logistics providers, brokers, and freight companies. This position requires attention to detail, organizational skills, and the ability to communicate effectively with internal and external stakeholders.
Key Responsibilities
Clerical & Documentation Support
- Send, receive, and reconcile daily order and shipping information from third-party logistics (3PL) providers.
- Verify details on invoices from brokers, business partners, and freight companies.
- Collect and organize necessary documents such as delivery notifications, entry summaries, purchase orders, and proof of payments for invoice filing.
- Maintain and update Harmonized Tariff Schedule (HTS) codes, traffic records, and charge summaries.
- Prepare simple reports on missing data, discrepancies, and document requests from brokers, vendors, and freight carriers.
- Maintain accurate and organized files for the Distribution section of the Materials Management department.
Shipping & Order Processing
- Process domestic LTL shipments in the company's Transportation Management System (TMS).
- Assist in processing international orders via company TMS or customers' preferred carriers.
- Rate shop LTL carriers to obtain the best service-to-cost ratio.
- Create commercial invoices for international shipments.
- Provide freight charge estimates to internal departments upon request.
- Communicate shipping instructions to third-party warehouses to ensure on-time customer deliveries.
- Maintain daily order reconciliation records to track and resolve order discrepancies.
Inventory & Freight Coordination
- Assist in reconciling freight invoices and verifying accurate charges.
- Obtain Proof of Delivery (PODs) from freight carriers and brokers.
- Support monthly inventory reconciliation efforts in coordination with the inventory control team.
- Generate daily reports on orders received at third-party warehouses.
Other Responsibilities
- Maintain professional and clear internal and external communication.
- Ensure cleanliness and organization of work area and documentation.
- Continuously seek improvements in work processes and techniques.
- Perform other duties as assigned by management.
Qualifications & Requirements
Education & Experience
- High school diploma or GED required; equivalent experience will be considered.
- At least one year of clerical experience required; experience in warehouse, logistics, or inventory control is a plus.
- Familiarity with shipping, freight, and warehouse processes is preferred.
Skills & Abilities
- Typing speed of at least 40 WPM with minimal errors.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and other office applications.
- Strong verbal and written communication skills for handling inquiries from customers and vendors.
- Ability to read, comprehend, and follow instructions in written and verbal formats.
- Experience with TMS (Transportation Management Systems) and logistics databases is a plus.
- Detail-oriented with excellent organizational and problem-solving skills.
- Ability to multitask and prioritize responsibilities in a fast-paced environment.
Physical Requirements & Work Environment
- Primarily a seated position with occasional standing and walking.
- Ability to lift and move up to 30 lbs occasionally.
- Frequent use of hands and arms for typing, document handling, and filing.
- Must be able to read and analyze documents both on paper and a computer screen.
- Ability to communicate effectively in person, via phone, and in writing.
