The Role
The Administrative Assistant provides key administrative duties for senior members of the leadership team. This highly professional and highly organized individual, with exceptional follow up skills, tackles administrative duties and projects using strong communication, project management and executive presence. This individual has understanding and exposure to a variety of business areas and current global affairs. This person anticipates needs and gets things done through hard work, creativity and leveraging strong collaborative relationships.

This is a 12-month contract position with the possibility of extension/conversion.
Responsibilities
- Handle information with an extremely high degree of sensitivity and confidentiality.
- Complete a broad variety of administrative tasks which includes managing an extremely complex calendar, scheduling meetings, arranging global travel plans, and completing monthly expense reports.
- Help to prepare for meetings by ensuring the appropriate stakeholders are available, create/share meeting minutes, coordinate necessary follow-ups, and ensure team members are prepared and informed before team meetings.
- Compose correspondence, prepare presentations, reports and other ad hoc materials.
- Triage inbound messages and prioritize flagging important items for follow up.
- Serve as liaison to all internal staff and external audience/clients/partners.
- Greet visitors and dignitaries with discretion and respect.
- Support executives at TIME events with preparation, coordinating travel to events and any other activities required.
- Support TIME overall by participating in the planning and execution of employee events.
- Contribute to a highly engaged culture. Participate in, and champion, company events and initiatives.
Qualifications
- 1+ years work experience in a prior assistant or office management position or other relevant experience.
- High attention to detail.
- Excellent poise under pressure -- remaining calm and focused while multi-tasking and bringing stakeholders together around a common goal. Strong executive presence.
- Ability to execute and ability to know when to delegate; solutions-oriented.
- Demonstrated ability to develop relationships with senior executives and others to lead through influence
- Direct and effective communicator; highly collaborative with all levels of the organization
- High tolerance for ambiguity, complexity, and changing priorities
- Ability to manage multiple priorities in a complex, matrixed, global organization
- Empathetic and respectful, always open to new ideas or perspectives on a wide range of topics
- Consummate professional, with cultural sensitivity, knowledge and appreciation -- leading with values rooted in equity, diversity, inclusion, empathy and trust.

This is a hybrid role. Eligible candidates for the role must be within a commutable distance of TIME’s New York City office upon hire and will be expected to be physically present as needed (at least three days per week).

- Salary range for this position: $65,000 - $70,000 commensurate with experience
