Position Mission Statement
Serve as a strategic partner to the executive team by providing high-level administrative support, including proactive calendar management, travel coordination, meeting preparation, and communication facilitation to ensure seamless daily operations and enable executive focus on organizational priorities.
Key Responsibilities
- Own office operations, ordering supplies, managing vendors, organizing team events, coordinating visitors
- Manage the day-to-day schedule, appointments, and communications for executives, ensuring efficiency and prioritization
- Assist with travel arrangements, including booking flights, accommodations, and creating itineraries
- Contribute to team operations, including event planning, office management, and vendor coordination
- Organize and maintain files, documents, and reports for quick access and reference
- Support project management by tracking deadlines, deliverables, and ensuring timely follow-up
- Maintain documentation, process receipts, and handle occasional light bookkeeping or expense reports
- Jump in wherever needed, whether that’s grabbing parts, updating spreadsheets, or helping with internal comms
Qualifications
- Education: Bachelor’s degree or equivalent professional experience preferred
- 2–5 years of experience in EA, operations, or startup admin roles
- Strong organizational skills and attention to detail
- High EQ, you can read a room and know how to communicate with execs, engineers, and guests alike
- Comfortable managing priorities in an unstructured, fast-changing environment
- Strong written communication and a high sense of ownership
- A collaborative mindset with a proactive and problem-solving approach
- Experience supporting leadership in high-growth teams is a big plus
