What We Do:
Woodcraft Rangers provides TK-12 expanded learning programs, including before and after school, specialty enrichment, and summer learning. In the past few years, Woodcraft has expanded its menu of services beyond traditional afterschool programs and summer camps to include early learning, environmental and social justice, college access, and inclusion services for youth with intellectual and developmental disabilities. Additionally, we offer Lifecraft, a college and career advancement program to support the development of approximately 1,000 staff. Today, Woodcraft Rangers serves more than 20,000 youth ages 4-18 annually in and from 110+ Title I schools across LA County!

Role Overview:
The Office Manager at Woodcraft Rangers is an essential cornerstone of our day-to-day operations, pivotal in fostering an organized, efficient, and welcoming office environment that supports our overarching mission to empower youth through education and development programs. This multifaceted role demands a blend of administrative excellence, operational management, and customer service prowess to ensure the seamless functioning of our office and the well-being of our staff and visitors. As the operational heart of our satellite office, the Office Manager oversees key aspects such as managing office supplies, handling mail and communications, coordinating space allocations through desk hoteling and room reservations, and liaising with janitorial and building management to maintain an optimal work environment. In tandem with these duties, the Office Manager acts as the primary point of contact for our organization. Through their dedicated efforts, the Office Manager contributes significantly to sustaining an atmosphere that is conducive to productivity, collaboration, and the achievement of our long-term goals.
Responsibilities:
- Staff Coordination: Support the administrative staff and ensure the smooth operation of the office. Coordinate with HR to support staff hiring, training, and development
- Customer Service: Provide excellent customer service, ensuring all staff and visitors feel welcomed and supported in the space
- Space Coordination: Organize efficient use of all shared spaces and booking systems, including Microsoft Calendars and hotel reservation systems
- Program Support: Work closely with program leadership to ensure details related to summer camps and after-school programs are communicated to inquiring stakeholders
- Communication: Serve as a point of contact for internal and external stakeholders. Communicate effectively with parents, staff, and vendors
- Facility Management: Oversee the maintenance and organization of the office and program facilities to ensure a safe and welcoming environment for staff and visitors
- Compliance and Safety: Ensure that all programs and office operations comply with relevant laws and regulations and lead office safety training and drills
- Event Planning: Assist with the planning and execution of special events, such as staff meetings, board meetings, staff training, and on-site recruitment events
- Inventory Management: Oversee the procurement and management of office supplies to ensure that necessary materials are always available
Qualifications:
- Minimum of 3 years in office management, preferably in an educational or non-profit setting
- Proven ability to manage and lead a team effectively
- Excellent written and verbal communication skills, with the ability to communicate effectively with all levels of staff and guests
- Exceptional organizational and multitasking skills, with a keen attention to detail
- Strong analytical and problem-solving skills, with the ability to think strategically and offer solutions
- While not required, bilingual abilities in English and Spanish are considered beneficial
- Familiarity with relevant policies
- Demonstrated experience in working with ethnically and culturally diverse communities, along with a comprehensive understanding of the unique needs of high-need areas in Los Angeles, including knowledge of the existing educational systems, youth development principles, and related programs
- Valid LIVE Scan, TB Clearance, and CPR Certification (provided by Woodcraft Rangers)

- Ability to manage multiple tasks and priorities, keeping the office running efficiently
- Ability to lead and motivate a team, manage staff schedules, conduct performance reviews, and facilitate team development
- Capacity to identify and resolve issues swiftly and efficiently
- Proficiency in managing daily office operations, including maintaining office supplies, coordinating mailings, and organizing files
- Familiarity with office technology and software, including Microsoft Office Suite, email platforms, and potentially CRM or ERP systems
- Skills in managing client relationships and providing customer support as needed
- Experience in overseeing projects from conception to completion, ensuring deadlines and budgets are met
- The ability to adapt to changes in the work environment, manage competing demands, and deal with frequent changes, delays, or unexpected events
- Precision and attention to detail in all aspects of the office management role
- A strong understanding of the importance of handling sensitive information confidentially
- Ability to negotiate with vendors, service providers, and even within the team to ensure the office's needs are met efficiently and cost-effectively
- Exceptional verbal and written communication skills, capable of engaging a variety of audiences and stakeholders
- Strong self-motivation and self-learning abilities
- Ability to work effectively both independently and within a team environment

Physical Demands:

Work Environment and Schedule:

Status: Full-time
Salary Range: $25.00 - $30.00 per hour / 40 hours per week.
