The HR/Payroll Assistant provides essential administrative support to the Human Resources department, contributing to the smooth operation of key HR functions. This role is responsible for maintaining employee records, coordinating onboarding activities, tracking attendance, and serving as a first point of contact for general employee inquiries.
In addition to daily HR support, the HR/Payroll Assistant plays a vital role in the initial processing and tracking of employee leave of absence requests, workplace accommodations, workers’ compensation claims, and safety documentation. This position also offers the opportunity to assist the HR/Payroll Coordinator with payroll-related tasks such as timecard validation and data entry.
The ideal candidate is detail-oriented, highly organized, and capable of handling sensitive information with professionalism and discretion.
Reporting to the Human Resources Manager, this role is responsible for the following:
- Support the onboarding process by preparing new hire documentation, entering employee data, and scheduling orientation.
- Maintain accurate and up-to-date employee records, both electronically and in physical files.
- Monitor and track employee time and attendance; follow up with supervisors on missing or incomplete records.
- Respond to employee questions regarding company policies, procedures, benefits, and HR documentation.
- Process and track initial leave of absence and accommodation requests, ensuring timely documentation and communication with the HR Manager.
- Assist with workers’ compensation claim intake, including incident documentation, initial reporting, and case tracking.
- Maintain safety records, support incident reporting, and ensure proper documentation for compliance and audits.
- Assist the HR/Payroll Coordinator with payroll support tasks as needed, such as reviewing timesheets and responding to payroll-related inquiries.
- Generate and maintain HR tracking logs, spreadsheets, and internal reports.
- Provide general administrative support for HR projects, audits, and compliance activities.
- Ensure all work is completed with a high degree of confidentiality and in compliance with company policies and applicable regulations.
- Assist in screening applicants and scheduling Interviews
Qualifications:
- Associate’s degree in Human Resources, Business Administration, or a related field (Bachelor’s degree preferred).
- 1–2 years of experience in an administrative, HR, or payroll support role.
- Familiarity with HRIS systems, timekeeping tools, and document management platforms.
- Basic understanding of FMLA, ADA, workers’ compensation, and workplace safety compliance is a plus.
- Strong organizational skills with high attention to detail and accuracy.
- Excellent interpersonal and written communication skills.
- Ability to handle confidential and sensitive information with discretion.
- Proficiency in Microsoft Office Suite and/or Google Workspace.
