About The Role
Trusted Media Brands is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our senior executive team. This role will support our CEO and CFO/COO. The Executive Assistant will serve as a strategic partner and right-hand support, managing the executive’s schedule, communications, and high-priority projects. The ideal candidate is a master of logistics, thrives in a fast-paced environment and can act as company-wide contact for support and information.
This role will be in our NYC office, and you will be required to be in office 3x per week. You will report to the CEO and CFO/COO.
Salary Range: $80,000-95,000

You have a strong sense of discretion and professionalism with a proactive approach.
Key Responsibilities
- Calendar & Schedule Management
- Coordinate and manage the CEO’s and CFO/COO calendar, including meetings, appointments, and travel arrangements. In addition, you may be asked to help schedule meetings for other members of the leadership team
- Communication & Correspondence
- Act as a gatekeeper for internal and external communications
- Draft, review, and manage professional correspondence and reports
- Meeting Preparation & Follow-up
- Prepare meeting agendas, briefings, presentations and materials
- Record and distribute meeting notes, track action items, and ensure timely follow-up
- Help Leadership team members prepare for board meetings
- Project Management & Research
- Support cross-functional projects, conduct research, and create presentations as needed
- Proactively identify areas to improve efficiency and support executive decision-making
- Confidentiality & Relationship Management
- Maintain strict confidentiality on sensitive business matters
- Build and maintain positive relationships with leadership teams, board members, and employees
- Finance/Accounting
- Work with Accounting on setting up vendor and supplier information with continued follow-up on all invoicing payments, questions, and accurately submitting proper charge codes, etc.
- Processing T/E expenses
- NYC Office Management
- Will support office management of our NYC office
- Will work with HR team on culture events
Required Qualifications:
- Highly organized with strong attention to detail and the ability to manage multiple tasks simultaneously
- You are highly organized and a concise communicator with excellent verbal and written communication and a flawless ability to distill complex ideas into simple solutions
- You are flexible and able to work with all facets of the organization
- You are someone who can exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities
- You have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion
