About The Role
As our new Office Manager, you’ll be the heart and soul of our New York office. You’ll ensure an inspiring and efficient workplace environment, oversee all daily office operations, and act as the go-to person for anything office-related. From managing our suppliers and hardware to owning our merchandise and perks, you’ll play a key role in shaping the employee experience. You’ll work closely with other office managers to prepare and coordinate our annual company offsites and internal events, helping to foster a vibrant team culture across locations.
With your pragmatic and hands-on mentality, you directly report to the Head of Operations and set the guardrails for our organization to evolve into a solid and well-oiled engine for innovative decision design. This role will require hands-on work, time management, as well as organizational skills, and an entrepreneurial mindset to transform ideas into reality. This is why we are looking for a professional with an interest and first-hand experience in office operations or office management.
What Will You Do
Office Management and Operations:
- Own and manage all aspects of our New York office operations to create a positive, healthy, and welcoming work environment.
- Proactively drive all New York office operations by serving as the main point of contact for office-related needs, including coordination with vendors and suppliers, ordering and managing office supplies, and handling communication with service providers.
- Lead end-to-end hardware and equipment management—from procurement to maintenance and returns.
- Create and manage the yearly office budget, including forecasting and tracking expenses.
- Continuously identify and implement opportunities to improve onsite and remote employee perks.
- Manage company merch and gifts for employees, customers, and investors.
- Coordinate third parties on site, welcome customers, candidates, stakeholders, and other visitors, and ensure a professional set-up of all operations on-site.
Organize company events:
- Coordinate with office managers to organize and execute company-wide events, including offsites, local team gatherings, and remote-friendly initiatives.
- Plan, budget, and manage logistics for team and cultural events in the NY office, while maintaining an annual company event calendar and acting as the main point of contact for all company-wide initiatives.
Background Requirements
- You have professional experience in office operations, office management, or as an executive assistant.
- You are proactive, have a broad interest in ops topics, and you’re able to quickly delve into new situations and questions with a hands-on approach.
- Strong organizational skills and the ability to work independently as well as collaboratively.
- You are pragmatic and hands-on with a good sense of when to strive for innovation and when not to reinvent the wheel and bring in best practices.
- You are fluent in English.
