Position Overview:
We are seeking a proactive and highly organized professional to serve as both Office Manager and Executive Assistant. This dual role is critical in supporting our executive leadership and ensuring the smooth operation of our Cincinnati office. The ideal candidate will manage administrative functions, executive support, office coordination, and internal communications.
Key Responsibilities:
Executive Support & Administration:
- Provide direct administrative support to CEO, COO, including managing calendars, scheduling meetings, and coordinating travel.
- Prepare agendas, reports, presentations, and correspondence.
- Manage incoming communications and respond on behalf of executives when appropriate.
Office Management & Operations:
- Oversee daily office operations to ensure a clean, organized, and efficient workplace.
- Manage office supply inventory, vendor relationships, and service contracts.
- Develop and enforce office policies and standard operating procedures.
Project & Event Coordination:
- Assist with company initiatives and special projects, ensuring deadlines are met.
- Organize company events, meetings, and executive off-sites.
Financial & Budget Oversight:
- Track office-related expenses and manage budgets.
- Process invoices and negotiate with vendors for cost-effective services.
HR & Team Support:
- Support onboarding of new hires and maintain employee records.
- Foster a positive office culture through team-building activities and support for internal HR processes.
Confidentiality & Professionalism:
- Handle sensitive information with the utmost discretion.
- Maintain a high degree of professionalism and reliability in all interactions.
Qualifications:
Education & Experience:
- Bachelor’s degree in business administration or related field preferred.
- Minimum 3–5 years of experience in an office management or executive assistant role, ideally supporting senior leadership.
Skills:
- Exceptional organizational, time-management, and communication skills.
- Proficiency in Microsoft Office Suite; experience with Google Workspace and project management tools is a plus.
- Strong problem-solving ability and a proactive mindset.
