Position Overview
The People Coordinator will support the US People team in delivering high-quality employee experiences and ensuring key initiatives are executed smoothly. As the People Team Coordinator, you’ll play a critical role in helping drive culture, maintain operational excellence, and keep the team organized and aligned. You’ll support key functions like onboarding, offboarding, engagement coordination, reporting, and systems management, serving as a dependable team player and trusted go-to resource across the employee lifecycle.
This role reports directly to the Senior Director of People, US.
Main Responsibilities
Onboarding & Offboarding
- Ensure the induction of all new employees is warm, welcoming, informative, and values lead.
- Own the end-to-end onboarding experience, including pre-boarding logistics, first-day readiness, systems access, orientation scheduling, and check-ins.
- Support new hires in navigating their onboarding materials by being a friendly and knowledgeable resource on company processes, policies, benefits, and organizational structures.
- Support the coordination of our internal onboarding training for all new joiners.
- Oversee a seamless offboarding process by working closely with key stakeholders, processing all offboarding paperwork, conducting exit interviews, and answering any questions.
- Maintain accurate and up to date data for new hires and departing employees in UKG.
- Continuously evaluate and improve onboarding and offboarding workflows based on feedback and data.
Employee Engagement & Experience
- Support Senior Director of People with planning company and engagement events.
- Partner with the Senior Director of People to create an office engagement strategy, that aligns with the greater People team calendar.
- Support internal communication efforts that foster transparency and connection across teams.
- Help foster a sense of belonging and inclusion by contributing to initiatives that strengthen employee experience and reinforce company values.
HRIS & Ticket Management
- Monitor and manage incoming HRIS tickets, ensuring timely triage, resolution, and follow-up across key platforms (e.g., onboarding tasks, status changes, documentation requests).
- Maintain accurate employee data and records in HRIS and associated systems.
Administration & Support
- Generate regular reports related to headcount, onboarding, offboarding, and other HR metrics.
- Support compliance and audit processes through accurate record-keeping and documentation.
- Assist with the development and maintenance of SOPs and employee lifecycle process documentation.
- Respond to inquiries such as unemployment requirements and current and former employees’ employment verifications
- Work with the People Team on departmental billing.
- Provide support to the People Team on state compliance and filing requests.
- On an as needed basis, provide support to our leadership team (i.e., mailing, copies of documents, etc.)
- Understand the payroll processes, be trained as a back-up to be able to run payroll in the absence of the Payroll Manager.
- Own ad hoc reporting in UKG including but not limited to headcount, turnover, time and attendance, learning and development, etc.
- Support People Team with special projects and other duties as needed.
Qualifications, Education, Knowledge & Skills
- Proficient in Microsoft Office and working knowledge of Windows based computer programs required, specifically Outlook and Excel.
- 1-2 years of experience in an office or people team role.
- Proactive problem-solving skills and ability to improve processes and methods.
- Must have the ability to prioritize and multi-task within a fast-paced environment.
- Superior organizational and verbal + written communication skills.
- Professional, positive attitude and discretion in handling sensitive and confidential information.
- Extremely strong verbal and written communication.
- Highly motivated, self-starter, with a can-do attitude and willingness to initiate tasks & projects.
- Strong interpersonal and problem-solving skills
- Extremely detail-oriented and responsible
- Must exhibit a willingness to initiate tasks and perform duties without direction.
- Must have the ability to work a flexible schedule and work from NYC HQ at least three days a week
- Working independently and taking direction from multiple sources simultaneously
- Able to lift 15-30 pounds.
- Proficient in Microsoft Office – Outlook, Word, Excel and PowerPoint
