Job Summary:
We are looking for a highly organized and proactive Office Manager / Executive Assistant to support our executive leadership and ensure smooth day-to-day operations in a fast-paced, global retail environment. This dual-role position requires a dynamic individual who can manage administrative functions, coordinate cross-border communications, and provide high-level executive support.
Key Responsibilities:
Executive Assistant Duties:
- Provide comprehensive administrative support to senior executives, including calendar management, travel arrangements, and meeting coordination.
- Prepare reports, presentations, and correspondence on behalf of executives.
- Manage confidential information with discretion and professionalism.
- Coordinate internal and external communications, including with global retail partners and stakeholders.
- Organize and support executive meetings, including agenda preparation, minutes, and follow-ups.
Office Management Duties:
- Oversee daily office operations, supplies, vendor relationships, and facility management.
- Ensure the office environment is efficient, professional, and aligned with company culture.
- Manage budgets for office supplies, equipment, and services.
- Support onboarding and offboarding processes for staff.
- Coordinate with HR, IT, and Finance departments to support operational needs.
Qualifications:
- Bachelor’s degree in Business Administration, Communications, or related field.
- 5+ years of experience in office management and/or executive support, preferably in a global retail or corporate environment.
- Strong organizational and multitasking skills with attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and calendar/email management tools.
Ability to work independently and handle sensitive information with integrity.
