Position Summary:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to our executive team. The ideal candidate will anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Key Responsibilities:
- Manage complex calendars and schedule meetings, calls, and travel
- Coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, and itineraries
- Prepare and edit correspondence, communications, presentations, and other documents
- Handle confidential information with discretion and maintain the highest level of professionalism
- Act as a liaison between executives and internal/external stakeholders
- Plan and execute meetings, events, and off-site engagements, including agenda preparation and follow-ups
- Track and follow up on outstanding items and ensure timely execution of deliverables
- Assist with expense reporting, invoice processing, and purchase orders
- Coordinate daily lunch orders for C-suite executives, team lunches, and catering for offsite events
- Generate FedEx shipping labels and occasionally send international packages via UPS
- Support the recruitment process for C-suite roles, including scheduling interviews and candidate coordination
- Communicate with insurance providers regarding the addition and removal of drivers and vehicles
- Manage company-wide correspondence, ensuring consistent and professional communication
- Send and manage documents via DocuSign and be proficient in using the platform
- Experience coordinating with vendors and managing office supplies and logistics
- Background in managing event planning and recruitment processes
- Work with onsite security to coordinate and authorize all visitors coming to the facility
- Oversee and coordinate special projects as assigned
Qualifications:
- Proven experience as an Executive Assistant or similar role
- Exceptional organizational and time-management skills
- Strong verbal and written communication abilities
- Proficient in Microsoft Office Suite, Google Workspace, and productivity tools
- Ability to multitask and prioritize in a fast-paced environment
- High level of discretion and confidentiality
- Bachelor's degree preferred
