Reports To: Director of Project Management and Product Development
Job Overview:
We are seeking a highly organized and proactive Project Coordinator to join our biotechnology operations team. This role is critical in supporting the planning, execution, and delivery of key projects across product development, clinical programs, regulatory submissions, and cross-functional initiatives. The ideal candidate is detail-oriented, thrives in a fast-paced environment, and demonstrates strong collaboration skills across departments.
Essential Functions:
- Project Support: Coordinate cross-functional project activities including R&D, regulatory, quality, operations, and clinical teams to ensure timely execution of deliverables.
- Timeline Management: Maintain project plans and track progress against milestones, escalating risks or delays proactively to leadership.
- Meeting Facilitation: Schedule and lead project meetings, prepare agendas, capture meeting minutes, and track action items through completion.
- Documentation & Reporting: Maintain accurate and organized documentation including project charters, status reports, Gantt charts, and risk logs.
- Regulatory & Quality Compliance: Ensure project activities are aligned with industry standards and regulatory expectations (e.g., FDA, ISO 13485, GCP).
- Stakeholder Communication: Serve as a liaison across departments to ensure alignment, timely updates, and coordinated project execution.
- System Coordination: Utilize project management tools (e.g., Smartsheet, Asana, MS Project) for tracking and reporting.

Qualifications:
Education:
- Bachelor’s degree in a scientific, engineering, or healthcare-related field required.
Experience:
- 2–4 years of experience in project coordination, preferably in biotechnology, pharmaceuticals, or medical devices.
- Familiarity with product development lifecycle and cross-functional project coordination in regulated environments.
Skills:
- Excellent time management, organizational, and interpersonal communication skills.
- Proficiency in Microsoft Office and project management tools.
- Ability to manage multiple priorities and meet deadlines in a fast-paced, dynamic environment.
- Understanding of quality system requirements and regulatory pathways (e.g., 510(k), IND, QMS) is preferred.
