Summary
The role of Receptionist is responsible for the overall quality of the HQ office. The primary objectives include providing excellent hospitality, upholding standards and creating/implementing processes for efficiency.
Responsibilities
- Professionally handle all incoming telephone communications, ensuring accurate message distribution.
- Create a positive first impression for all visitors by managing building security registration and providing exceptional hospitality.
- Actively promote and support the office's "ways of working" through proactive communication and positive reinforcement.
- Efficiently manage the office-wide conference room booking system. Take responsibility for the daily upkeep and scheduling of conference rooms, ensuring they are always presentable and well-managed.
- Maintain optimal pantry standards daily, managing dishwasher cycles and ensuring adequate stock.
- Proactively manage the ordering and receipt of food supplies through online services, ensuring timely restocking.
- Partner with internal teams to ensure seamless hospitality for large meetings, including catering arrangements.
- Provide flexible and proactive support by tackling various ad-hoc tasks as needed. Drive the resolution of facility maintenance and repair issues and actively work to enhance building cleanliness standards through vendor management.
- Lead the planning and execution of office events and group activities with the Floor 3 receptionist.
- Independently manage the monthly ordering of office supplies according to established guidelines.
- Respond promptly to service requests and ensure timely completion of assigned tasks.
- Develop and maintain proficiency in Mail Clerk duties to provide seamless coverage when required.
- Offer essential support during receptionist or office manager absences, readily taking on responsibilities and following instructions.
- Track and manage expenses in Excel to maintain budget efficiency. Ensure cost-effective ordering of supplies, food, and catering within budget.
- Proactively oversee the Senior VP of Product's calendar, ensuring meticulous organization and strategic planning of appointments and meetings.
- Collaborate closely with the HR team on various ad hoc projects related to group activities, such as setting up new hire workstations, organizing company events (holiday parties, monthly birthday celebrations, in-office gatherings), and providing logistical support.
- Provide support for recurring new hire onboarding sessions, including coordinating catering, setting up meeting spaces, and managing other logistical aspects.
- Maintain strict confidentiality regarding sensitive information and company matters.
Requirements
- 1-2 years of reception/office administration experience.
- The ability to manage multiple tasks, prioritize effectively, and maintain order in a fast-paced environment is crucial. This includes meticulous attention to detail.
- Clear, concise, and professional communication is necessary for interacting with staff, visitors, and vendors. This includes active listening skills.
- The ability to identify and resolve issues independently and efficiently is important for maintaining a smooth office operation.
- The capacity to manage their own time effectively and meet deadlines is key for handling various responsibilities.
- A professional and welcoming demeanor is necessary for interacting with visitors and providing support to internal teams.
- The ability to anticipate needs and take action without constant direction.
- Familiarity with standard office suites (e.g., Microsoft Office Suite, Google Workspace) is essential for document creation, email management, and potentially spreadsheets or presentations.
