Job Description
Our client, a newly launching hedge fund, is looking to hire an Executive Assistant/Project Manager to help support the office in administrative and project management duties! This role is onsite 5 days a week in their midtown office and is offering a competitive base salary of up to $175K, discretionary bonus, and excellent benefits.
Responsibilities
- Manage complex and frequently changing calendars, coordinate meetings, screen calls, and arrange travel.
- Prepare and process invoices, travel documents, and expense reports; maintain electronic and physical records.
- Greet and assist office visitors, ensuring a professional and welcoming environment.
- Collaborate with executives and cross-functional teams to define project goals, priorities, and timelines; identify necessary resources.
- Organize team stand-ups and reviews, and clearly communicate progress, issues, and changes to stakeholders.
- Implement or refine project management tools and processes; track outcomes and adjust methods as needed.
- Balance multiple projects simultaneously, prioritizing tasks across areas such as product strategy, vendor management, and customer engagement.
Qualifications
- 5+ years of executive assistance and project management experience out of financial services or start-up environments
- Experience using project management software such as Asana, monday.com, and/or Notion
- High level of discretion and confidentiality
- Proactive problem solver and able to operate with ambiguity
- Adaptable personality and able to handle competing tasks in a fast paced environment
