Job Summary
We are seeking a highly engaged Executive Assistant to support company officers providing leadership to the downtown Houston office. The ideal candidate will be self-driven, proactive and resourceful in collaborating with colleagues and stakeholders across the company to support Houston office administrative needs and execute special projects. The employee will play an important role in supporting the culture of the Houston office by assisting in the development of cultural initiatives, including planning and execution. The employee will act as a liaison for guests, including company senior executives, providing an executive-level support presence to the Houston office. The employee will provide day-to-day administrative support to officers in the Houston office.
The successful candidate will have a proven track record of successfully supporting executives, along with excellent communication skills, presence, confidence, organization skills and the ability to prioritize tasks in a developing environment. Proficiency in Outlook, Word and PowerPoint, along with other office software and tools, is essential.

Essential Functions And Responsibilities
- Provide day-to-day administrative support for company officers based in Houston, including calendar management, correspondence, scheduling of daily activities, travel planning, invoice management and various other matters.
- Assistance with the development of cultural initiatives and other special projects, including planning and executing with minimal required supervision.
- Provide support to company senior executives while visiting Houston.
- Collaborate with colleagues and build relationships to proactively support Houston office administrative needs and advance cultural initiatives.
- Read, interpret, process, edit, and/or prepare correspondence (including officer personal correspondence), memos and reports utilizing computers and applicable software.
Education
- Associate's degree, or other formal education, in office administration, secretarial science or related studies, such as administrative procedures, computer sciences, business communications, business math, information processing, records management, administrative office management or interpersonal communications
Experience
At least 7 years’ experience providing proactive and resourceful support to an executiveExperience in building positive relationships across an organizationExperience in use and function of office equipment applicable to position, including computers and photocopiersExperience and training related to:
- Word processing, spreadsheet, and presentation software such as Microsoft Word, Excel, and PowerPoint
- Developing and maintaining physical and/or electronic filing systems
- Handling confidential and/or sensitive information
- Planning conferences and meetings
- Experience reading, interpreting, extracting, and/or disseminating information from various sources including financial reports and information, policies and procedures, periodicals and publications, stock transactions, company invoices, annual reports, and dividend and investment information
- Experience interacting, advising, directing, and communicating effectively
- Experience composing and preparing correspondence and reports
Knowledge, Skills And Abilities
- Knowledge of: commonly accepted grammar and punctuation
- Knowledge of: business terminology
- Skills in: keyboarding (tested, 40 wpm)
- Skills in: shorthand/speed writing (tested, 70 wpm). (Specified by position.)
