The position is based in San Diego, CA with a hybrid work schedule (3 days per week in office).
Areas of Accountability:
- Administrative Oversight
- Schedule meetings, manage calendars, and coordinate travel
- Prepare reports, memos, and correspondence
- Maintain confidential files and records
- Office Operations
- Order and manage office supplies and inventory
- Oversee office equipment maintenance and service contracts
- Liaise with vendors and service providers
- Coordinate office maintenance and repairs
- Ensure the office space is clean, safe, and functional
- Budgeting and Finance Support
- Track and reconcile office expenses
- People & Culture Support
- Onboard new employees (desk setup, badges, IT coordination)
- Coordinate employee events, office celebrations, and team-building activities
- Help communicate HR or company-wide updates
- Support health and safety compliance and training
Reception and Front Desk Duties:
- Front Desk Management
- Greet and direct visitors in a friendly and professional manner
- Answer, screen, and forward incoming phone calls
- Receive, sort, and distribute mail and packages
- Visitor & Meeting Coordination
- Maintain visitor logs and issue temporary badges
- Notify staff of guest arrivals
- Prepare meeting rooms and ensure they are clean and stocked
- Customer Service
- Handle inquiries from clients, vendors, and employees
- Provide general information and assistance as needed
- Security & Access
- Monitor access to the building (if applicable)
- Coordinate building or floor access cards and security protocols
Optional or Organization-Specific Duties:
- Provide executive assistant support to leadership
- Support remote team logistics and virtual meeting tech
At PracticeTek we carefully consider a wide range of compensation factors to determine our offers of employment. This includes internal and external market factors as well as your individual experience and skills. These considerations can cause compensation to vary but we reasonably expect to pay between $25 - $31/hr. for this position.
