Your Role
We are seeking a dynamic Operations Coordinator to support our growing team in a multifaceted role that blends payroll administration, freelance management, operational and people support, and culture-building. This role is integral to help foster our thriving workplace culture while ensuring seamless company operational processes. The ideal candidate is highly organized, a self-starter, and passionate about creating a positive employee experience.

Primary Responsibilities
Payroll & Administration:
- Assist and manage the payroll process, ensuring accuracy and compliance across FutureBrand U.S offices. This would include maintaining payroll records, updating employee information, and working closely with our finance team to ensure timely submissions.
- Support with benefits administration, leave of absence requests and all general employee requests through Workday.
- Manage our timekeeping system to ensure all employees are accounted for paid leave and time off.
- Support in processing both new hire onboarding and off-boarding of employees.
- Respond to employee payroll and benefits inquiries, escalating complex issues as needed.
Freelance & Contractor Management
- Coordinate freelancer and contractor onboarding, ensuring proper documentation, contracts, and tax forms are completed in a timely manner.
- Monitor contract terms and ensure timely renewals or terminations.
- Track freelancer invoices, verify hours worked, and process payments in coordination with Finance.
- Maintain an up-to-date database of freelance talent, ensuring compliance with labor laws and company policies.
- Act as a liaison between freelancers and internal teams, facilitating smooth collaboration and communication.
Culture & Office Support
- Support in the planning and execution of employee engagement initiatives, such as team-building activities, wellness programs, and company events.
- Champion diversity, equity, and inclusion (DEI) initiatives, promoting an inclusive workplace culture.
- Support with internal communication efforts to keep employees informed and engaged, including newsletters and company announcements.
- Foster a positive and collaborative work environment by supporting new hire integration and team cohesion.
Qualifications & Skills
- 1-3 years of experience in an operations, HR or an administrative support role.
- Exceptional organizational and multitasking abilities, with high attention to detail.
- Excellent communication and interpersonal skills, with the ability to engage employees at all levels.
- Experience in an HRIS, and/or payroll software, with experience in Workday a plus.
- Experience in Microsoft Office.
- Ability to handle confidential information with discretion and professionalism.
- A proactive approach to problem-solving and continuous process improvement.
- Experience working in a fast-paced, dynamic environment with evolving needs.
