The Event Operations Coordinator will be responsible for planning & executing all assigned events as well as provide administrative support to the Event Operations Department. The ideal candidate is highly communicative with a can-do attitude and the ability to thrive in a fast-paced environment year-round.
Essential Job Functions
- Responsible for all events tasked by Vice President, from conception to execution. Manage, and execute assigned aspects of designated events
- Provide administrative and operational support to the Event Operations Department by collaborating with all Raiders internal departments to advance the mission of the Raiders organization
- Coordinate with various teammates on multiple projects concurrently
- Track expenses of each event. Prepare cost evaluations and availabilities of vendors
- Prepare detailed load-in/out schedules and maps for vendors, serve as the onsite point of contact, and manage the load-in/out process until complete
- Plan and create event timelines, work schedules, job assignments, and expectations for the Raiders Ambassador staff for select events
- Manage and maintain the event operations inventory and upkeep of equipment at storage locations, while maintaining the functionality of the inventory and equipment.
- Serve as a representative on behalf of the Raiders during conference calls, site visits, and production meetings when needed
- Collaborate with Event Operations teammates on post-event evaluations that incorporates internal stakeholders, including formulating surveys and preparing reports
- Aid Managers, Senior Manager, and Vice President in the execution of large-scale, organizational initiatives as needed
- Produce event and activation “decks” for internal stakeholders, including Senior Vice Presidents, Vice Presidents, and Directors
- Collaborate with Creative department to ensure that all deliverables are on-time and on-budget
- Order and coordinate delivery/pickup of rental equipment as needed
- Conduct research and catalogue information on event vendors and venues
- Create Event Operations templates as well as Standard Operating Procedures for the department
- Analyze and prepare cost evaluations and availabilities of vendors when needed
- Administer meetings on behalf of the department when needed
- Maintain accurate files for the department
- Attend conference calls, site visits and production meetings, as necessary
- All other duties as assigned
Qualifications
- Bachelor’s degree preferred
- 3 years of experience in the events field, with at least one (1) year in event planning or management
- Excellent writing and presentation skills; ability to convey information concisely and accurately in email, Excel, Word and PowerPoint programs to a variety of constituents, including senior executives
- Exceptional attention to detail
- Ability to operate in a fast-paced environment and deliver effective turnkey solutions in a limited timeframe
- Familiarity with event software such as Splash and Asana preferred
- Ability to travel as needed
- Valid Drivers License required
- Ability to work extended hours and flexible schedule including nights, overnights and weekends and holidays
- Mandatory to work all Raiders home games
Physical Aspects of Position (includes but are not limited to):
- Frequent walking, standing for long periods of time, sitting and stair climbing
- Occasional bending, kneeling, pushing, pulling
- Occasional lifting and carrying up to 50lbs
