The Personal Assistant role and responsibilities
We are seeking an exceptional Personal Assistant to provide essential support to Guild’s Chairman. The Personal Assistant will be a dual role that requires superior organizational abilities, meticulous attention to detail, unwavering discretion, and the capacity to anticipate needs while managing multiple priorities simultaneously.
- Manage complex calendar and schedule appointments, ensuring no conflicts and optimal time management
- Work with the Chairman’s Office and other Executive Assistants to coordinate domestic and international travel arrangements including private aviation, accommodations, transportation, and itineraries
- Handle sensitive personal and professional correspondence with the utmost confidentiality
- Screen calls, emails, and visitors, prioritizing communications appropriately
- Arrange and coordinate personal events and entertainment, including private dining experiences
- Manage personal shopping, gift procurement, and special occasion planning
- Prepare for and help plan any travel itineraries
- Liaise with other staff members, family office personnel, and service providers
- Develop relationships with vendors to handle last-minute requests related to security, drivers, cleaning, etc.
- Process expense reports and maintain accurate records of personal expenditures
- Execute special projects and ad-hoc requests with efficiency and discretion
- Coordinate with household staff including housekeepers, chefs, gardeners, and security personnel
- Manage vendor relationships and service contracts for real estate properties
- Ensure properties are properly prepared before principal's arrival and maintained during absence
Requirements
- 1+ years of experience as a personal assistant in a professional capacity
- Exceptional organizational skills with ability to prioritize competing demands
- Excellent written and verbal communication skills
- Strong problem-solving abilities and resourcefulness
- Proficiency with technology including Microsoft Office Suite, property management software, and travel booking platforms
- Valid driver's license with clean driving record
- Passport and ability to travel internationally on short notice
- Financial acumen to manage substantial budgets and expense reporting
- Proactive, anticipatory mindset
- Detail-oriented with excellent follow-through

- Position requires flexibility with working hours including evenings, weekends, and holidays as needed
- Domestic and potentially international travel required
