The City of Katy is seeking an Administrative Assistant to provide support to the City of Katy Police Department. SUMMARY: Performs various administrative and clerical tasks that provide support to assigned Department. Maintains accurate records, manages correspondences and reports, and orders Department supplies. Essential duties and responsibilities may include, but are not limited to, the following:

Follows and promotes record policy and procedures of the Police Department Copies, and distributes confidential files, and materials for department staff and various local and state agencies. Assists the general public, departmental staff, and other agencies in person and by telephone; responds to public inquiries for information regarding police reports and other matters; ensures that the release of records follows state, federal, and local laws. Assists with police file and record management including destruction and filing; assists in the implementation of file record management systems and programs. Processes cash receivables; accepts payments over the counter, runs daily cash receipts and balances with daily deposit. Enters and retrieves data from an online computerized system. Assists with maintaining database deadlines. Performs general office duties such as ordering supplies; may notarize documents. Represent the City and the Police Department in a courteous, professional manner. Receives incoming department mail and prepares a wide variety of materials for individual and bulk mailing. Performs public noticing and posting requirements. This position is considered Critical Personnel during a natural or manmade disaster and/or a catastrophic event. This position may be required to provide services or perform duties for the benefit of the public and the continuity of City operations. These may include services or duties different from those performed in the usual course and scope of this position. For purposes of business continuity, employees in this position are considered Essential Critical Infrastructure Workers, as defined by the Cybersecurity & Infrastructure Security Agency (CISA). Performs other duties as assigned.

Minimum Qualifications

Education, Training and Experience Guidelines: High school diploma or equivalent; AND three (3) years of progressively responsible secretarial and customer service experience; OR an equivalent combination of education, training, and experience.

Knowledge of: Department policies and procedures. General office and administration procedures. Accounting principles, practices, and procedures. Basic bookkeeping methods, practices, and procedures.

Skill in: Establishing and maintaining effective working relationships. Operating a personal computer, standard software, and general office equipment. Communicating clearly, both orally and in writing. Maintaining records and filing systems.

LICENSE AND CERTIFICATION REQUIREMENTS: A valid State Driver's License may be required.

PHYSICAL DEMANDS AND WORKING ENVIRONMENT: Work is performed in a standard office environment.
